Tun Cottage Function Room Terms and Conditions
'Client' (or you) means the Tun Cottage client as set out on the Tun Cottage Booking
Confirmation.
'Contract' means the contract between the Client and the Tun Cottage and is
subject to these Terms and Conditions.
'Function' means the function, conference or other similar Event organised by
the Client or such other person nominated by the Client and which shall be
held at Tun Cottage
'We, our or us' means Tun Cottage Bed and Breakfast.
'Services' means the services provided by Tun Cottage to the Client as
specified in our booking confirmation for the specified event.
All function room
accommodation is offered subject to availability at the time of receipt of the
deposit, and at the quoted tariffs.
The prices are
quoted on a per delegate day rate at the rate stated in the booking
confirmation. These prices include accommodation as per the specified conference
room set up to meet the client's requirements and equipped with: Flipchart with
integrated whiteboard (A1 size), flipchart paper, note pads, pencils and pens,
water, finger buffet lunch (including vegetarian alternative), coffee, tea and
biscuits upon arrival and mid afternoon.
Free Wi-Fi is available
The following services are available by prior arrangement and at additional charge: telephone
and fax facilities, photocopying/printing, other media/IT equipment.
Your room will be available by 9.00 am on your specified function day (earlier by prior
arrangement) and we would ask that you vacate your function room by 6pm unless
otherwise agreed.
A deposit by Credit, Debit or Charge Card is required to guarantee your booking. Cheques
can also be accepted provided that there is adequate time for clearing.
Accounts must be paid in full 7 days before the function date, or where credit has been allowed by prior
arrangement (and at the sole discretion of Tun Cottage) no later than 7 days
after the invoice date. A 2.5% per month interest charge will be added to
amounts unpaid after this date.
If there are any queries on any part of an invoice the Client will pay the undisputed
balance of the sum owing on the date due and the remainder on resolution of the
query.
Tun Cottage reserves the right to withdraw credit facilities at any time
without notice.
We accept the following debit cards: UK Maestro,
Solo, Visa debit, Debit Mastercard, Visa Electron. We also take the
following credit cards: Visa personal, Maestro International, Mastercard
Personal, Mastercard World Signia, and a Commercial/Corporate credit card and cash payments
Please note a 2.5%
surcharge applies to payments by credit card but 0% for debit cards.
Alternatively we take cheques with a valid guarantee card covering the amount
due.
We assume that any member of our client's staff placing a booking has authority to do so
and we will take any such booking/enquiry on face value without obligation to
check the authority of the individual concerned.
We are unable to guarantee that all of the
facilities will be available for use during your conference/meeting and we will
take all reasonable steps to fulfill the reservation to the best of our ability
and in accordance with the details provided. However we reserve the right to
provide alternative services (which shall be to a standard equivalent to those
as set out on the confirmation booking form) at no additional costs to the
Client.
If you have
any special dietary or other requirements please give full details before
confirming the booking. Our normal scale of cancellation charges may apply if
you cancel because we are unable to meet any requirements that you fail to
disclose when making the booking.
The Client
shall provide all such information that is available in relation to the
Function as may be necessary to enable us to make a fully informed assessment
of our obligation to provide the Services.

01344 873073. Our cancellation policy is as follows:
- There will be no
cancellation charge for the facilities if a booking is cancelled more than 21 days
before the date of your function. Please note however, that the client will be liable for any costs already incurred
by Tun Cottage eg if special equipment has been sourced by Tun Cottage, and there
is a cancellation charge of greater than 21 days which Tun Cottage has advised
the client of in writing, then this charge will be made and passed on to the
client by Tun Cottage.
- If the booking is
cancelled between 21 days and 7 days prior to the start of your function your
deposit will not be refunded and the client will be charged for any additional
equipment charges incurred by Tun Cottage which have been confirmed by us in writing.
- If the booking is
cancelled within 7 days, or in the case of a no-show, you will be charged for
the total amount of your function (minus the deposit taken). This amount is
specified in our booking confirmation.
In the event of any cancellation or curtailment, the person who made this reservation with this
establishment and whose name appears on the booking form will be liable to pay
for the outstanding cost.
If the deposit has
been paid using a credit or debit card authorised account number, then any
payment due owing to cancellation, curtailment or damage will also be made on
this same account number by Tun Cottage. The card holder will be notified
of any such transaction.
If you are concerned about the possibility of cancellation you are advised to take out
appropriate Insurance.
Tun Cottage cannot
accept responsibility for loss of delegates' property, or for loss or damage of
property or vehicles in the car park.
Tun Cottage reserves the right to amend, curtail or terminate any contract should the
conduct of any person who is a part to that contract cause any detriment to the
house or to the well being or comfort of other delegates.
Lost keys will be charged at the rate of £20 per key.
If a delegate damages or breaks an item then the person who made the reservation with this
establishment and whose name appears on the booking form will be liable to pay
for the cost of repairing, or if not possible or viable to repair, then for
replacing the item.
Tun Cottage is a no-smoking house - both the bedrooms and public areas.
In the unlikely
event that you have a problem during your conference or meeting, you must bring
it to the attention of the owner at the time to ensure that we have an
opportunity to rectify it.
The Client shall not be entitled to withhold payment of any invoice by reason of
any right of set off or counterclaim which the Client may have or alleged to
have for any reason whatsoever
Tun Cottage does not accept responsibility for any errors or omissions on the
web site and reserve the right to amend, cancel or vary any of the arrangements
featured on the site without notice.
The Client shall
give details of final numbers of delegates attending the function when
requested by us and upon booking, in any event not less than 7 days prior to
the day of the function. Tun Cottage reserves the right to charge for the
number of delegates stated as attending 7 days prior to the event, even is this
number decreases on the function day. The acceptance of any additional
delegates over the initially advised number will be at the discretion of Tun
Cottage and charged accordingly. Tun Cottage cannot be held responsible for the
failure to provide accommodation or service to reflect increased numbers not
stated at the time of booking.
Where the booking
includes bedroom accommodation, full details of the persons staying together
with type of accommodation and length of stay must be stated in writing prior
to arrival. Tun Cottage will provide this accommodation at its discretion and
if it is available. The booking of a function room does not offer priority to
bedroom accommodation bookings.
The Client cannot
use the Tun Cottage name or trademark or any of our intellectual property right
without our prior written consent. Any posters or advertising material used by
the client and featuring Tun Cottage may only be used with our written consent.
Clients using the Tun Cottage facilities must comply with all regulations concerning
fire, health and safety. Hazardous or dangerous items may not be brought into Tun Cottage
without prior written permission.
The Client is advised that any computer facilities, if made available by Tun
Cottage, are made available on the strict understanding that the Client is
responsible for compliance with any licensing conditions in relation to the use
of such facilities. The Client will indemnify Tun Cottage against all costs,
claims, damages, liabilities or expenses incurred by us as a result of any use
of the computer facilities by the Client or its guests including corruption or
other damage to Tun Cottage's hardware and/or licensed software of any breach
of any third party rights arising from the Client's or its guests' use of the
computer facilities.
Tun Cottage
reserves the right to cancel an event under the following circumstances:
- Insolvency by either you or Tun Cottage.
- You are more than 14 days in arrears with
any payment under this or any other contract between Tun Cottage and the
Client.
- Tun Cottage, or any part of it, is closed
due to circumstances beyond our control. In this event a refund of any advanced
deposit will be paid but Tun Cottage would have no other liability.
Under no circumstances whatsoever shall Tun Cottage be liable for losses special to
the particular circumstances of the Client, indirect or consequential loss or
loss of profit or wasted expenditure.
The Client shall indemnify Tun Cottage against all losses, actions, costs, claims,
damages, demands, expenses and liabilities whatsoever which Tun Cottage may
incur either at common law or by statute in respect of personal injury to or
the death of any person or in respect of any loss or destruction or damage to
property (other than as a result of any negligence or default of Tun Cottage or
of any person for whom Tun Cottage is responsible) which shall have occurred as
a result of the Client's use of any of the Services or Facilities provided by
Tun Cottage under this Contract or which shall otherwise be attributable to the
acts or omissions of the Client or as a result of any breach of this Agreement
by the Client.
The Client agrees
not to enter into any contract for music or other forms of entertainment or
other services or accommodation in connection with the Function without prior
written consent of Tun Cottage such permission not to be unreasonably withheld.
The
Client agrees to begin and end its Function at the scheduled times as stated on
the booking confirmation and accepted by Tun Cottage. Tun Cottage reserves the
right to charge and the Client agrees to reimburse Tun Cottage for any
additional expenses incurred by Tun Cottage due to the Client using the
Function space outside the scheduled time.
The Client agrees
to pay Tun Cottage for any food, beverage or other service not provided for in
this Contract, but made available on request of the Client unless Tun Cottage
has been specifically instructed in writing to obtain cash settlement direct
from the person receiving such services.
The Client shall not set up any display within Tun Cottage's premises
(including the Car Park) without our written permission. Any display material used must
confirm with Local Government and Fire Regulations.
All conditions are
subject to the law of England and Wales.
